For students

Build your project with BEER Lab

Whether you are working on a course activity, a project with participants, or undergraduate research, here you can find the right pathway, review the rules, and submit the information needed for review before you begin.

Before you begin

Identify the right pathway

Select every condition that describes your activity. The result is advisory; BEER confirms the final classification.

My activity includes…

Teaching exercise

A BEER submission does not appear necessary. The instructor should confirm that there are no participants, non-public data, lab resources, or dissemination plans.

Important: calling an activity a “class project” does not remove the need for review when participants, non-public data, lab resources, or planned dissemination are involved.

Three possibilities

What each pathway means

The simplified pathway is reserved for bounded learning activities. Projects beyond those limits enter the general process.

Pathway A

Teaching exercise

Uses simulated, public, or previously anonymized data, with no participant interaction or BEER resources.

  • No team record is required.
  • The output is used only for learning.
  • The instructor confirms classification.
Pathway B

Course project with participants

Collects responses or decisions for academic work and remains within UG-01.

  • Requires a faculty sponsor.
  • Uses the simplified project record.
  • Waits for authorization before recruitment.
Pathway C

Regular research

Includes dissemination, reuse, special risks, or complexity beyond simplified review.

  • Uses the general process.
  • Retains undergraduate safeguards.
  • May require formal ethics review.

Responsibilities

Who is accountable

Student

Provides accurate information, completes training, follows the authorized version, and reports changes or incidents.

Faculty sponsor

Assumes responsibility for supervision, ethics, consent, funding, data protection, operations, assessment alternatives, and closeout.

BEER Lab

Classifies, reviews resource use, controls access, and escalates projects beyond the simplified pathway.

Before submitting

Team checklist

These confirmations do not replace the form, but they help identify missing items before submission.

Submission

Choose the appropriate form

The instructor registers the course once. Each team then submits its own record and receives an independent classification.

1. Course and responsible team

Identify the course, faculty sponsor, and student team.

Leave blank if the instructor has not received an ID.

2. Proposed activity

Describe the objective and intended use of the results.

3. Participants and risks

Include activities conducted with classmates.

Select every applicable condition

4. Data, payments, and resources

Explain how information will be protected and what support is requested.

BEER resources requested

5. Attestations

You will receive a reference number after the information and files have been stored.

Frequently asked questions

Common questions

Does a graded project require review?

Yes, when it involves participants, non-public data, payments, or BEER resources. Work using only simulated, public, or previously anonymized data with no dissemination normally remains a teaching exercise.

Does course registration approve every project?

No. It reduces duplication and identifies the responsible instructor, but each team submits a record and receives its own classification.

May we recruit classmates?

Only when participation is genuinely voluntary, does not affect grades, and an equivalent alternative exists. BEER may require another recruitment channel if pressure or authority is present.

May teaching-exercise data be published later?

Do not assume so. Dissemination or reuse must be declared from the outset, and the original ethics authorization and consent must expressly permit that use.

Do students receive ORSEE or production-server access?

Students do not receive contact databases or administrative credentials. They may develop and test; BEER or an authorized person handles invitations, deployment, backups, and exports.

Does your project exceed the undergraduate scope?

If it includes dissemination, reuse, special risks, sensitive data, or complex procedures, use the regular research pathway. You do not need to read that pathway for an activity that remains within UG-01.
